Who we are
Mind the Gap Limited is a theatre company that works in partnership with learning disabled artists to create productions and events.

The company is limited by guarantee without share capital, and is registered in England & Wales No. 2348556. It is a Registered Charity No. 328476.

Our registered office and main place of work is Mind the Gap Studios, Patent Street, Bradford, BD9 4SA.

What Information do we collect about you and how do we use that information?
There are a variety of ways in which we may collect and further process your data in line with the requirements of the General Data Protection Regulation (GDPR).

These are summarised below.

Ticketing
Mind the Gap uses an online ticketing system called TicketSource for events at MTG Studios and external events managed by us. When purchasing a ticket, we will ask you for your personal details including:

  • Name
  • Email address to receive your ticket
  • Home address used to process credit/debit card transactions via TicketSource’s secure booking system
  • Telephone number in case of cancellation, postponement etc.
  • Access requirements to ensure we can make your visit as pleasant as possible

At the time of booking, you will be asked for your consent to receive marketing information by email or post. We will never send you future marketing information without your consent.

Mind the Gap retains customer data for a period of six complete years in line with our financial information retention policy unless you request for this information to be removed from our systems.

Your personal data is maintained and protected in accordance with TicketSource’s Event Organiser Data Privacy Policy

Ticketing at External Venues
If you attend one of Mind the Gap’s performances at an external venue, for example to see a show that is part of one of our national tours, your personal data will be managed by the host venue.

Mind the Gap has Data Sharing Agreements with a number of venues around the country to learn more about our audiences. These agreements only allow us to share anonymised data about audiences who have attended one of our performances. We will never pass on your personal details.

Feedback Forms
If you attend one of Mind the Gap’s performances as an audience member, we will ask you to fill out a feedback form at the end of the show. It is your choice whether you complete the form, however the information you do provide will be entered into a secure database in a way which means we won’t be able to identify you. The individual feedback forms are then destroyed. The anonymised data will be used to report to funders such as Arts Council England as well as to better understand our audiences.

We will never pass on your personal data to other companies without your consent.

If you choose to sign up to our e-newsletter, there is a space on the feedback form where you can leave your email address. We will then send you instructions on how to sign up to our e-newsletter (see Marketing section below for more information).

Marketing

Newsletter
Mind the Gap’s monthly newsletter contains all the latest news and events as well as other things you may find interesting. In addition to our monthly newsletter, we may also send you special announcements about the company and our work. We will never spam you, and you will only hear from us a couple of times a month.

As a touring theatre company, Mind the Gap works all over the country and internationally. You don’t have to tell us whereabouts you live but if you do, we can send you information that is relevant to you.

Once you have signed up to our Newsletter, you can change your mind at any time by clicking the unsubscribe link at the bottom of any email you receive from us or by contacting marketing@mind-the-gap.org.uk.

Mind the Gap uses Mailchimp as our marketing automation platform. The information you provide when singing up to our newsletter with be transferred to MailChimp for processing in accordance with their Privacy Policy and Terms.

 

Data Retention
Mind the Gap stores your personal information for different periods of time depending on how we obtained it.

This is explained in more detail below.

Financial Information
Mind the Gap stores financial transactions such as ticket booking information, charitable donations to the company, fees for our Academy courses etc. and all related data for a period of six complete years in total in line with statutory rules.

Email Marketing
Mind the Gap’s email marketing is managed through MailChimp. We will keep you on our database until you request to be removed by either unsubscribing or contacting us. From time to time, we will ask you to refresh your marketing consent. If you have unsubscribed we will completely remove your email address from our systems within a period of 30 days.

Archive
Mind the Gap keeps an archive of its artistic work, which covers the full period of the company’s history. This archive includes scripts, marketing materials, press coverage, high quality images and video footage, key personnel, and other important information about each project/production. We do not keep personal contact details or any other information that might be considered sensitive.

Archive material is securely stored in both physical (paper) and digital formats. From time to time, Mind the Gap will allow certain people access to our archives (e.g. academics or researchers) upon request and with the correct consent from individuals concerned. We will never share archive material with the public unless prior consent has been granted.

Media Archive
Within Mind the Gap’s archive are high quality images and videos of the company’s past productions. We will keep these indefinitely as a record of our work but will only share these publicly with consent.

Photography Consent
Mind the Gap will request consent from people in photographs and video footage, prior to the photograph been taken. This consent allows us to share the images for marketing and promotional purposes. Mind the Gap regularly records, in photography and film, events that happen in public spaces and venues. In these circumstances, we will inform you about where and when this is happening. You have right to refuse to be photographed. If you decide at a later date that you wish to withdraw your consent, Mind the Gap will respect your wishes by deleting the images or blurring images out so as not to identify you.

Data Storage
Mind the Gap takes the security of your personal data very seriously. Any personal data we hold on you is stored securely. Physical documents are stored under lock and key at the company’s registered office in Bradford.

Unless otherwise stated within this Privacy Policy, digital information/documents are securely stored on our cloud based server hosted by Dropbox for Business.

Cookies
Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of Mind the Gap’s website and to compile statistical reports on website activity through Google Analytics.
